Chapter 01
Start with the student profile
Before comparing options, capture the essentials: students’ ages, approximate numbers, how many adults will travel, and whether the enquiry is for a junior summer programme or a school mini-stay.
The published junior age range is 11–17. Mini-stay groups have a minimum of 15 students and are planned outside July and August; they can run from 5 nights to 4 weeks. Ask the team to confirm that the proposed format fits the group’s dates.
Chapter 02
Mark each detail as confirmed or open
- Confirmed: the school’s possible travel window
- Open: the final student count or rooming plan
- Preferred: the city or centre the client wants to compare
- To check: dietary, access or accommodation questions
- Decision date: when the school expects to choose
Chapter 03
Use a simple client-facing summary
A useful note can be short: “We are checking [programme and centre] for [age range] in [date window]. The confirmed details are [items]. We still need to confirm [open questions].” This helps everyone distinguish an early option from a final written quotation.
Avoid promising a price, schedule, room type or activity until it has been confirmed for the specific group and dates.
Chapter 04
Make the enquiry easy to answer
Send the preferred dates, age range, estimated numbers, likely centre and the client’s main question together. If you are comparing two cities or programme types, say what the client is trying to decide.
For a partnership discussion or group request, contact the SEDA Summer team through the agency enquiry page. Details for a particular group should be confirmed in writing before you present them as final.
